How to use Just Flow It
The essentials of the editor in eight short answers. Each topic has its own link, so you can jump straight to what you need.
Open a new diagram and describe the process in plain language. The AI draws the complete BPMN diagram, with pools, lanes, tasks and gateways, already laid out on the canvas.
- 1On the dashboard, click “New diagram”.
- 2In the “What do you want to model?” box, describe the process: who takes part, the steps and the decisions.
- 3Send it. The diagram appears on the canvas, ready to edit by hand or by chat.
Name the roles involved (customer, sales, finance) to get one lane per role. On Pro and Team you can also attach images and PDFs or describe the process by voice.
Back to topicsAsk for the change in the AI chat. The AI reads the current diagram and changes what you asked for, keeping the rest.
- 1If the chat is closed, open it with “AI Chat” on the toolbar.
- 2Describe the change, for example “add a manager approval after the review”.
- 3To point at a specific element, select it and click “Reference in chat” in the menu beside it. The chat receives a reference to that element.
One change per message works better than a long list. If you moved arrows by hand, the AI may redraw them when it edits.
Back to topicsClick the element where the flow starts and keep the mouse over it. A blue arrow appears on its right side: drag it onto the next element.
- 1Click the element where the flow starts and keep the mouse over it. A small blue arrow appears on its right side.
- 2Drag the blue arrow and release it over the next element. The kind of arrow is chosen for you.
- 3To change where an arrow points, select it and drag the ring at its end onto another element. To remove it, select it and press Delete.
Between two different pools the arrow becomes a message flow. With an element selected, the menu beside it also suggests the next element (task, gateway, end event) and creates it already connected.
Back to topicsA pool is a participant in the process, such as a company, a customer or a system, and its lanes split the work by role. Add them from the palette and drag each element into the lane of whoever does it.
- 1In the “Elements” palette on the left, drag “Pool” onto the canvas. A “Lane” has to be dropped inside a pool.
- 2Select a pool or lane to open its toolbar: add a lane above or below, add a sublane, or delete it while keeping what is inside.
- 3Drag an element into another lane to move it there. To resize a pool or lane, drag its right or bottom border.
Right-click a lane to move it up or down. The AI also edits lanes: ask “move the approval to the Finance lane”.
Back to topicsDrag a “Sub-Process” from the palette and place the steps it groups inside it. To detail a step in a separate diagram, use a “Call Activity” linked to that diagram.
- 1Search the palette for “Sub-Process” and drag it onto the canvas.
- 2Drag the tasks that belong to it into its area. Double-click it to rename it.
- 3For a step detailed in another diagram, add a “Call Activity”, choose the diagram under “Linked Diagram” in “Properties”, and double-click it to open that diagram in a new tab.
A subprocess always shows its content on the canvas. For long processes, splitting into linked diagrams keeps each one readable.
Back to topicsUse “Export” on the toolbar. It saves an image (PNG or JPG) or a standard BPMN 2.0 .bpmn file that other BPMN tools, such as Camunda Modeler, can open. Available on every plan, Free included. You can also download the process document (SOP): the flowchart plus every step with its owner and description. PDF is on every plan; Pro adds AI-written texts and an editable Word file.
- 1Click “Export” on the toolbar. The menu shows up once the diagram has elements.
- 2For an image, choose PNG (light, dark or transparent background) or JPG.
- 3To take the diagram to another BPMN tool, choose “Export as BPMN 2.0 (.bpmn)”. The same menu has “Print”.
- 4For the process document, choose “Process document (SOP)”, pick PDF or Word and, on Pro, turn on “Write with AI”.
To keep editing in another BPMN tool, use the .bpmn file: an image can only be viewed.
Back to topicsPress ? in the editor to see the main shortcuts. On Mac, use ⌘ where it says Ctrl.
- 1Ctrl+Z undoes. Ctrl+Shift+Z or Ctrl+Y redoes.
- 2Ctrl+C, Ctrl+V and Ctrl+D copy, paste and duplicate. Ctrl+A selects everything.
- 3Ctrl+F finds an element by name. Delete or Backspace removes the selection.
- 4The arrow keys nudge the selection, and with Shift they move it further. Esc clears the selection or cancels a connection.
- 5With the “Hand” tool (the default), dragging an empty area moves the canvas; with the “Select” tool it draws a selection box. Holding Space and dragging always moves it. The mouse wheel or a pinch zooms.
Shortcuts don't fire while you type in a text field, except Ctrl+F.
